Project Overview
Preplist is a comprehensive mobile and web application specifically crafted as an effective prep management tool tailored for restaurant kitchens. In the midst of a hectic shift, kitchen staff frequently need to juggle multiple preparation tasks across various stations, while chefs and managers require clear visibility into which tasks have been completed and which still demand attention. This product consolidates all these tasks into a single shared workspace, eliminating the need for paper lists, verbal updates, or fragmented communication methods.
The user experience is thoughtfully organized around distinct kitchen sections such as grill, pastry, prep, sauces, and cold stations. Each team member can easily access the tasks pertinent to their section, update their progress in real time, and monitor what their colleagues are working on. Tasks transition through straightforward states like pending, in progress, and completed, providing a transparent view of the kitchen’s status without the necessity for constant verbal check-ins.
Additionally, the system maintains a detailed record of all work completed throughout the day and week. Completed tasks can include information about the responsible staff member, the time of completion, and an optional photo, offering chefs a clearer and more accountable way to review preparation activities. The use of reusable prep templates allows for quick setup of recurring task lists, while the platform’s flexible subscription model supports advanced features such as multi-location management and in-depth reporting capabilities, making it a scalable solution for growing restaurant operations.

The Challenge
Restaurant kitchens move fast, and relying on verbal instructions or paper checklists makes it hard to track completed tasks and responsibilities. Challenge was to create a system that boosts visibility and accountability without adding complexity for staff during busy shifts.
The Approach
The product was designed around the way kitchen teams already work: sections, tasks, status, and accountability. Instead of creating a feature-heavy workflow, we focused on quick actions, clear task states, updates, and easy access to the information staff during their shifts.
The Outcome
This system gives restaurant teams a clear overview of daily prep tasks and keeps a reliable log of completed work. Staff work smoothly, while chefs and managers get better insight into progress and duties.

Project Overview
The primary goal was to solve a very specific operational problem: visibility. In a professional kitchen, knowing that something needs to be done is only part of the problem. The team also needs to know who is handling it, whether it is currently in progress, and whether it has already been completed. The product was built around making this information immediately visible.
Speed was equally important. Kitchen staff cannot spend several minutes navigating an application just to update a prep task. The core interactions therefore needed to be quick and obvious, with simple status changes and section-based lists that reduce the amount of information shown at any one time. The product should support the kitchen's workflow rather than interrupt it. Accountability was another key business need. By connecting completed tasks with staff names, timestamps, and optional photos, the system creates a more reliable record of daily preparation. This gives chefs and managers something more useful than a simple completed checkbox and can help identify where tasks are being missed or where processes need improvement.
The product also needed to work beyond a single day's prep list. Daily and weekly history provides a way to review previous work, while reusable templates reduce the effort required to recreate recurring preparation tasks. These features turn the product from a simple digital checklist into a tool that can support more consistent kitchen operations over time.
The biggest takeaway is that operational software does not need to be complicated to be valuable. For this product, the real value comes from solving a few important problems well: showing what needs attention, making responsibility clear, keeping everyone in sync, and creating a useful record of what happened. That focus keeps the application practical for the people using it in the busiest part of their workday.
